The Company Policies feature enables HR users to create, share, and track acknowledgment of important company policies among employees. This feature ensures compliance and provides employees with direct access to read and acknowledge required policies.

Creating a Policy

HR users can create new company policies by following these steps:

  • Access the Company Policies section in the HR Portal.
  • Click on Add New Policy to create a new policy.
  • Fill in the policy details:
    • Title: Enter a unique title for the policy.
    • Content: Provide the full policy text or guidelines.
    • Attachments: (Optional) Attach any relevant files or documents.
  • Save the policy. Once saved, a notification is sent to all employees to inform them about the new policy.

Employee Acknowledgment

Employees are required to acknowledge each new policy. They can access policies by:

  • Opening My Policy Acknowledgments in the Employee Portal.
  • Reading the policy content carefully, checking the checkbox then clicking on Submit to confirm compliance.

Monitoring Policy Compliance

HR users can monitor policy acknowledgments to ensure compliance by:

  • Viewing acknowledgment records for each employee in the Policy Acknowledgments section.
  • Using options to:
    • Re-Notify: Send a reminder notification to employees who have not acknowledged the policy.
    • Force Acknowledgment: Restrict access to the ITSERP system for employees until they acknowledge the policy. Employees with forced acknowledgment cannot access any other part of the system until compliance is achieved.
